Development Database Administrator
Reports to: CFO and when hired Director of Development
We are looking for an energetic and motivated Development Database Administrator to be a part of our dynamic and growing team at the National office. The Development Database Administrator will be responsible for entering and maintaining development data in our Raiser’s Edge database and processing of all gifts. In addition, this role would be a resource to all Summer Search offices for query and report building in Raiser’s Edge and work closely with our Finance team for monthly reconciliation. This is a newly created position, and offers an exciting opportunity to help strengthen our National office’s efficiency in assisting our local offices in our expansion.
ESSENTIAL RESPONSIBILITIES & DUTIES
1. Data entry and updating records:
- Constituent entry -- New individual/corporate/foundation information entry, linking various relationships to records, updating current records, records status validation, entering notes and action items, mark returned mail
- Gift entry – Daily batch entry of gift/pledge amounts, gift types, designations, appeals, pledge installments, matching gifts linking, solicitor information, etc.
- Proposals – Tracking of progress on proposals, enter and update records as needed, linking gifts to proposals, etc.
- Queries, Exports, Reports -- Design and execution of new queries, exports and detail reports, create and pull monthly reporting for the Boards, local offices, and development/finance teams, pull donor lists, giving histories and ranges for all constituents for Annual Report information support, prospect research, targeting specific groups, weekly merges for letters processing and solicitations for different constituency types, export mailing lists on as needed basis for regular and specific target groups for mailings.
2. Gift and Letter Processing:
- Maintain and update manual tracker of all gifts
- Coding, copying and processing of all donations
- Data entry for various funds
- Produce weekly acknowledgement letters and mailings
- Charts and spreadsheets for weekly gifts reporting
- Produce mailing lists for various solicitations, campaigns or marketing mailings
- Filing of all donors paperwork.
3. Reconciling Records & Audit Support:
- Monthly reconciling with Finance
- Produce any necessary reports for annual audit
- End-of-year reports:
- New Gifts
- Pledge payments received
- Pledge outstanding
- Major donor reports
- Provide gift documentation as needed
4. Other daily clerical/ administration duties:
- Answering phone calls, copying, filing, mailing and other support
- Development and Finance support including check coding, clarifying donations issues, coordinating acknowledgements, tracking annual fund solicitor assignments and gift tracking
5. Fundraising and other events support on an as need basis.
6. Information and software support:
- Interface with Raiser’s Edge consultants and software providers
Requirements
- Bachelor’s degree
- At least two years of work experience, marketing/fundraising experience
- Must have knowledge and experience working with Raiser’s Edge
- Commitment to strict confidentiality of donor information
- Excellent organizational and project management skills
- Detail oriented; able to meet deadlines with minimal supervision; set priorities
- Demonstrated excellence in customer service; strong interpersonal, oral, and written communication skills
- High organizational skills and ability to create systems
- Self-starter who is comfortable in a close-knit team-oriented setting
- Strong command of Microsoft Office applications and database operations
- Flexibility and willingness to learn and work on different tasks as needed
- Commitment and interest in non-profit sector
- Sense of humor

OFFICE MANAGER
Office Manager is responsible for the front desk duties and general office management duties including but not limited to filing, ordering office supplies and answering the general phone line.
ESSENTIAL FUNCTIONS
1. Answers the general phone line, direct calls and take messages
2. Greets office visitors and respond to their needs and direct them as appropriate
3. Maintains office equipment including requesting technicians and recommending maintenance needs
4. Maintains office supplies and order supplies as needed
5. Manages routine day-to-day activities such as incoming and outgoing mail
6. Provides assistance in coordinating staff and student events including event mailings and communications
7. Assists various projects on an as needed basis
Requirements
- One to two years of administrative experience
- Associate’s degree required, Bachelor’s degree a plus
- Proficient in MS Office
- Excellent oral and written communication skills
- Excellent organizational and project management skills
